AI and automation
For many, AI is still uncharted territory. For me, it’s a tool.
AI agents and automations handle routine work on their own and hand over to a person when a decision is needed. I build these workflows for businesses of any size and for individuals, step by step, and you can always see what’s happening.
What I automate.
Tasks someone does by hand today run on their own, with or without AI. Usually I connect programs you already use.
Process automation
Enquiries get lost in our inbox, and someone has to copy everything across by hand.
- Enquiries from forms, emails or phone notes land in your CRM or a spreadsheet automatically
- Connecting programs without custom development
- Reminders, follow-ups and notifications
- Reports and analyses compiled automatically
For example with n8n, Make, Zapier or Power Automate.
Also for individuals Calendars, email rules and smart home automation with Home Assistant (software side only).
Integrations with your softwareInvoice capture and document processing
We’re still typing up invoices and delivery notes by hand.
- Capturing incoming invoices and passing them to accounting, including XML e-invoices
- Sorting and routing emails and drafting replies
- Capturing forms, delivery notes and site measurements
- Preparing quotes from templates and price lists
For example with text recognition (OCR), AI models and export to DATEV.
Chatbot and knowledge assistant
Our staff keep asking the same questions.
- An internal knowledge assistant for manuals, contracts and product data
- A chatbot on your website that answers using your own content
- A “You’re talking to an AI” notice and data protection built in from the start
For example with models from Anthropic, OpenAI, Google or Mistral, or locally with Ollama if you prefer.
AI agents
Getting quotes out takes us too long.
- Agents for recurring tasks, with your approval
- Research, price comparisons and requesting quotes from suppliers
- Connecting agents to your existing software and monitoring them
AI in your existing software
We’d like to try AI before we spend serious money on it.
- Adding AI features to your existing software or website
- Cleaning up and merging data so AI can use it
- A pilot for one specific use case before any big investment
Almost anything can be automated. I’ll tell you what can’t.
What an agent can take over
- Reading and sorting emails and drafting replies
- Checking appointment requests against your calendar and suggesting times
- Preparing quotes from your templates
- Matching invoices to orders
- Moving data from one program to another
- Putting together reports from several sources
What stays with you
- Prices, commitments and anything binding
- Decisions about customers
- Complaints and difficult conversations
- The final approval before anything important goes out
Watch an agent at work
Four everyday tasks from a typical business. Pick one. The log is scripted: no real agent, no real data.
What it costs
Every automation is different. I estimate the effort up front, and you get a written quote with the total price including VAT before we start.
Find out what’s worth doing first: opportunity analysisHow a project works.
- Talk.
Which task eats up time every week? We pick the one where automating it pays off.
- Plan.
We put in writing what the agent may and may not do, and where it needs your approval.
- Build.
I build it using real examples from your day-to-day work. You see the work in progress at every stage.
- Launch.
It only goes live once you say it’s good to go.
- Support.
I check on it regularly and adjust it when something changes.
Questions people often ask
What exactly is an AI agent?
A program that works through a multi-step task on its own: reading, sorting, preparing something. When a decision is needed, it asks you instead of guessing.
Will the AI read all my data?
No. An agent only gets what it needs for its task. Before we start, we agree which data it may see and where it is processed.
What if the agent gets it wrong?
That’s what the approval step is for. For anything that matters, the agent puts a suggestion in front of you, and nothing goes out until you agree.
Is it worth it for a small business?
Often, yes, even with just one task that runs the same way every week. In the intro call we look at whether the time saved justifies the effort.
Does it work with my existing software?
Often, yes, if the software has an interface (API). I check that before I send you a quote.
